Summer Fete Terms & Conditions

Event: Waterlooville Summer Fête

By booking a stall, you agree to the following Terms & Conditions:

1. Booking

  • A completed booking form, full payment, and upload of valid Public Liability Insurance (minimum £5 million cover) are required to secure a pitch.
  • Fees are non-transferable.
  • Bookings are confirmed on a first come first served basis
  • The Organiser reserves the right to refuse any application.

2. Cancellation

  • More than 28 days before the event: 50% refund.
  • Less than 28 days: no refund.
  • If cancelled due to circumstances beyond the Organiser’s control, refunds (if any) will be at the Organiser’s discretion after unavoidable costs.
  • The Organiser is not liable for loss of earnings.

3. Insurance & Liability

  • Stallholders are responsible for their own stock, equipment, and property.
  • The Organiser accepts no liability for loss, damage, or injury arising from stallholder activity.
  • Stallholders indemnify the Organiser against claims resulting from their negligence or products.

4. Health & Safety

  • Stalls and gazebos must be securely erected and suitably weighted.
  • Electrical equipment must be PAT tested where applicable.
  • Trip hazards must be minimised.
  • Unsafe equipment may be removed at the Organiser’s discretion.

5. Conduct

  • Only approved goods may be sold.
  • No illegal, unsafe, counterfeit, or unlicensed goods.
  • No amplified music without permission.
  • Stallholders must act professionally and respectfully at all times.
  • Respect must be shown to the Waterlooville Community Events volunteer team, fellow traders, and the public.
  • Inappropriate, aggressive, abusive, or disruptive behaviour may result in removal without refund and exclusion from future events.

6. Set-Up & Breakdown

  • Setup instructions will be emailed separately.
  • Pitches are allocated by Waterlooville Community Events CIC and must be used as assigned.
  • Last vehicle entry: 9:00am.
  • One vehicle per pitch only (unless agreed in advance).
  • Maximum on-site speed: 5 mph.
  • No vehicle movement during public trading hours unless authorised.
  • No electricity or water is provided; traders must be self-sufficient.
  • No early pack-down without permission.
  • All rubbish and waste must be removed from site by the stallholder.

7. General

  • The event will proceed in most weather conditions unless deemed unsafe.
  • Failure to comply with these Terms may result in removal without refund.

About the Organiser

Waterlooville Community Events CIC is a registered Community Interest Company operating on a not-for-profit basis.

Any surplus income is reinvested into community events and local infrastructure projects for the benefit of Waterlooville.
