Summer Fete Terms & Conditions

Event: Waterlooville Summer Fête

By booking a stall, you agree to the following Terms & Conditions:

1. Fees & Payment Structure

  • A £100 non-refundable deposit is required to secure a food vendor pitch.
  • The deposit will be offset against the final fee due on the day.
  • Vendors agree to pay a fee equal to 20% of total end-of-day gross sales.
  • A minimum fee of £100 applies, regardless of total sales achieved.
  • If 20% of gross sales exceeds £100, the balance (after deducting the £100 deposit) must be paid on the day.
  • If 20% of gross sales is less than £100, no additional payment is due, as the deposit covers the minimum fee.
  • Vendors must provide an accurate declaration of total sales, including both cash and card transactions.
  • Waterlooville Community Events CIC reserves the right to request evidence of sales (e.g. till Z-report, card machine summary, or transaction history).
  • Waterlooville Community Events CIC reserves the right to carry out spot checks or audits during the event.
  • Any outstanding balance must be settled on the day unless otherwise agreed in writing.
  • Failure to accurately declare sales or provide evidence may result in removal from the event and exclusion from future events.

2. Booking

  • Pitch secured upon booking form, deposit, and documentation.
  • Bookings are non-transferable without written consent.

3. Pitch Allocation

  • Allocated by WCE.
  • Includes one vehicle space.
  • Operate within allocated footprint only.

4. Compliance & Documentation

  • £5m Public Liability Insurance required.
  • Food Hygiene Rating minimum 3.
  • Food safety certification, registration, risk assessment required.
  • Gas and electrical certificates where applicable.
  • Failure = refusal to trade.

5. Operations

  • No power or water provided.
  • Vendors must be self-sufficient.
  • Generators must be safe and low-noise.
  • Allergen information must be displayed.

6. Site Rules

  • Last vehicle entry 9:00 AM.
  • 5 mph speed limit.
  • No vehicle movement during trading.

7. Waste

  • Keep pitch clean.
  • Provide bins.
  • Take all waste off-site.

8. Conduct

  • Respectful behaviour required.
  • WCE may remove vendors for misconduct.

9. General

  • Outdoor event – weather dependent.
  • No refunds for vendor cancellation.
  • WCE not liable for loss or damage.

10. Community Statement

Waterlooville Community Events CIC is a non-profit organisation with proceeds reinvested into local community events.

11. Agreement

By booking, vendors agree to these Terms & Conditions

About the Organiser

Waterlooville Community Events CIC is a registered Community Interest Company operating on a not-for-profit basis.

Any surplus income is reinvested into community events and local infrastructure projects for the benefit of Waterlooville.
